Pre-authorisation Policy

Cancellation Charges

If you cancel your reservation, you will be charged at the full rate unless cancelled by 2.00pm 48 hours prior to arrival. If you fail to arrive, or checkout a day earlier than expected, you will be charged at the full rate, unless we have received notification in advance of the cancellation period.

We request that all reservations are confirmed with a credit/debit card number, and you are reminded that this constitutes a contract between yourself and West Lodge Park Hotel, which is governed by English law.

Accommodation deposits are non-refundable, but can be held against a future booking.

General Terms and Conditions

If you do not guarantee your reservation with a credit card number within 24 hours of making your reservation your booking may be released.

For bookings on the day of arrival, we require a further refundable deposit for any charges that may be incurred. These conditions do not apply to advanced purchase rates which are bookable in advance and non-refundable.

For the comfort of all our guests, West Lodge Park is a completely non-smoking hotel. Smoking in the rooms, or any activity which leaves a distinguishing odour will result in a minimum £200.00 cleaning charge in order for us to restore the room back to an acceptable condition.

Additional beds for children of 12 and under are charged at £25.00. Children aged 13 years and above are considered adults and would require sepearate accommodation.

We politely request that guests of Beales Hotels do not bring in their own alcoholic beverages or take away food.

  • A booking confirmation will be sent within 24 hours of booking. Please check carefully that this is correct.
  • In exceptional circumstances the company reserves the right to offer an alternative date of stay or to cancel the reservation(s) with full refund to the payee.
  • No refund will be given for early departure unless caused by significant acts of negligence on the part of the company or its employees.
  • Please note: if you are booking a promotion or a discounted rate, no further discounts or offers can be applied.
  • The company reserves the right to collect pre-authorisation credit card details on arrival to guarantee any additional monies due.

Cancellation

  • All cancellations must be made in writing to wlpreservations@bealeshotels.co.uk
  • You may cancel your reservation without charge up to 48 hours prior to your arrival. You will be charged 100% of the total price for cancellations received within 48 hours of your arrival. If we do not receive any prior notification to cancel your booking, the full price will be charged. Separate cancellation terms apply to group bookings.
  • Prepaid rates are non refundable but may be able to be transferred subject to agreement by the hotel

Useful Info

This is subject of course to our availability and to situations outside of our control such as guests wanting to extend their stay in a particular bedroom.

Hotel Information

Check in time is after 2.00pm. Check out time is before 11.00am. If you wish to stay after 11am, a charge of £20.00 per hour may apply.

Please advise reception accordingly.
Meals are served in our Mary Beale Restaurant:

Breakfast: Monday – Friday 7.00am – 10.30am
Saturday, Sunday & Bank Holidays 8.00am – 10.30am

All day menu: Monday – Sunday 12.00noon – 9.00pm
The Terrace bar is available from 10am for our all-day menu or sandwiches & afternoon teas.

Afternoon tea: Monday to Friday 2.00pm – 5.00pm
Saturday & Sunday 3.00pm – 5.00pm

We recommend you book a table in advance. Our resident pianist plays live on Friday and Saturday evenings and on Sunday lunches.

What is a pre-authorisation?

A pre-authorisation is a temporary hold of a specific amount of the available balance on a credit or debit card.

The pre-authorisation is not a charge and no funds have been debited from your account.

How much is a pre-authorisation?

The amount that we pre-authorise will depend on the number of nights that you stay e.g. If you are staying for 3 nights at £100 per night, we would pre-authorise your card for £300.00 plus £50.00 extra for every night you are staying to cover any incidentals.

When is the card pre-authorised?

All credit or debit cards are pre-authorised on check in.

Why is the credit card pre-authorised?

When you give us a credit/debit card, the pre-authorisation guarantees us that the funds are available to pay for any charges incurred.

Who is responsible for the pre-authorisation procedure?

Our Merchant Services are responsible for the maintenance and management of the pre-authorisation process. Should you have any queries regarding your pre-authorisation or any part of the process, please let us know

When does the pre-authorisation get released from the credit card?

This varies dependent on your individual credit/debit card. Upon your check out your room charge and any extras will be charged to your card, this will typically appear on your credit card statement within 3 working days.

However, if you choose to pay the balance with another credit card or method of payment, we will cancel the pre-authorisation and this could take a few working days to clear in your account.
